A Note from the Social Compliance Team

It’s a safe bet to say that September has been a whirlwind and with the holidays fast approaching, the remainder of the year will surely fly by!  September was particularly busy for the Social Compliance Team: five Suppliers were audited in Asia and four Suppliers were visited in North America.  Historically, the Social Compliance Team ramps down travel and audits in Q4 and shifts its focus to working with Suppliers to close out the year’s Corrective Action Plans and to prepare for the next year’s plans. In this issue, we have included a new section for ESG Q&As highlighting a member of the Sourcing Team. Read on to find out more! If this is the first time that you received the newsletter from us, we’ve also included the ExemCare Refresher material for you.  We hope you enjoy the Newsletter!

“Earth is now our only shareholder.  If we have any hope of a thriving planet – much less a business – it is going to take all of us doing what we can with the resources we have.” “While we’re doing our best to address the environmental crisis, it’s not enough.  We needed to find a way to put more money into fighting the crisis while keeping the company’s values intact.”

-Yvon Chouinard (Former CEO and Founder of Patagonia, )

The Civic 50 Orange County Reception

On Thursday, September 29th, Exemplis Team Members Karen Robinson, and Courtney Kolste attended the Civic 50 Orange County Reception in Anaheim, CA.  The Civic 50 Orange County is an initiative  of Points of Light in partnership with OneOC, designed to recognize and celebrate the 50 most community-minded companies in Orange County.  The 2022 honorees of The Civic 50 include companies from a variety of industries, with one thing in common — all are devoted to creating a culture of service and caring for our communities as they meet their business goals.  We are proud to announce that Exemplis was once again selected as one the TOP civically minded organizations in Orange County!!

ExemCare Program Refresher

As business continues to grow and expand, the Social Compliance Team would like to take this opportunity to provide a refresher on ExemCare and what our Team  needs when New Suppliers are on boarded.  ExemCare is short for Exemplis Cares – and we really do!   The Social Compliance Team partners with our Suppliers to ensure that fundamental human rights, business ethics and environment protection are valued across our supply chain.  We work with our Suppliers to make continuous improvements and increase transparency and visibility in our Supply Chain.  For more details, click [Here…]

Portal Update – CAP Status Supplier View

This month we requested our IT engineer to make an update on the ExemCare portal for Suppliers to view their CAP status report on audit findings. The IT engineer completed the request efficiently and satisfactorily. Now Suppliers can view their CAP status with their own account. The CAP Status Report can also be downloaded into PDF file to be emailed. This is helpful for Suppliers to view their audit records and CAP status in one place, especially when they have personnel changes and job handover is not transferred properly.

New in Audit Report: ExemCare Site Audit Pictures

As you may have noticed when reading our audit reports, we have included a separate document for putting together the supplier site pictures from our onsite audits. With this, report readers will have a more vivid impression of the Supplier facility’s strengths and weaknesses, which is especially helpful for new suppliers that have not been visited before. In addition, this is convenient for the compliance team as all pictures are archived in one file.

New Supplier Onboarding: NEFS in Vietnam

We have a new Supplier for the wooden sofa foot in Vietnam, named  NEFS, short for New Ever Friendship. EFS is our existing supplier in China, but NEFS is a new factory that we never worked with before. On September 20th, we had an onboarding meeting with NEFS to introduce Sourcing, Quality, Compliance, and Logistics to them. For compliance we have walked them through the Supplier Code of Conduct, factory profile and document list for preparation of the ExemCare assessment.

October ESG Q&A – Sourcing Team Spotlight

While we continue working with Suppliers to drive continuous improvements in social compliance, we are also on the lookout for more engagement with our internal team. Inspired by interview programs on TV, we have decided to start a new section for Q&As on the topic of ESG, so moving forward, we will randomly select one person from the Supply Chain Team to answer our ESG questions. This month we selected Song Yeh. Please continue reading to see her answers. We hope you enjoy reading them as we did!

1.      What does sustainability mean to you?

Sustainability is a change in habits, it’s not what’s trending now.  To me, sustainability is not only about recycling, it also means less use/waste.

2.      How do you practice sustainability in your daily life? Can you provide some examples?

I try to be plastics free at my house; from grocery shopping with reusable bags, to not wasting food, I make a conscious decision every day.  Also, I used to shop for clothes all the time, what’s fashionable and on-trend and working from home has helped me curb that habit.  In fact, I have too many so if anyone wants my hand me downs let me know!

3.      What is your favorite thing to recycle?

Aluminum cans, they are $.05 each!!

4.      What companies do you consider leaders in the Environmental/Social Compliance space? And why?

Definitely Patagonia, their objective is to transform how they make products.  In 2019, Patagonia received the UN Champion of the Earth award in the category: of outstanding entrepreneurial vision. The award was established by the UN Environment Program in 2005 to “celebrate outstanding figures whose actions have had a transformative positive impact on the environment.”

5.      What barriers do you think Exemplis faces in introducing sustainable practices into our business? Do you have any suggestions on how Exemplis can become a greener company?

In sourcing, we struggle with two competing priorities; cost savings and using sustainable materials/products that are much higher in cost.  Especially in textiles, if you want fewer chemicals or recycled yarns, it’ll cost more to produce (how does that make any sense!?)  But a lot of times, buying a 100% recycled material does not mean that it’s sustainable, sometimes more water and carbon emissions results in making that fabric.   We have to understand what true sustainability means.

Some suggestions maybe would be to be 100% solar energy dependent at the office and factories.   Upcycle our products, have “garage sales”, where employees can barter with each other (One person's trash is another one's treasure)

6.      How do you think we can better engage the Supplier Community to promote sustainability and compliance in the Supply Chain?

Continually share our sustainability roadmap with our suppliers.  Conduct an eco-assessment to see how our current suppliers are doing and understand their plans (if any) to get accredited.
